The Treasurer
Roles and Responsibilities
The Treasurer should not be seen as the sole arbitrator of finances within the Branch; this is the collective responsibility of the full Branch committee. He/she should however provide relevant financial information to the committee and should explain and report on the accounts at the regular committee meetings. Training for all Branch committee members will be offered by MSI. The Treasurer is responsible for the banking of all Branch funds, the upkeep of the Branch accounts and the presentation of the financial position of the Branch and the audited accounts in the Branch Annual Meeting.
The principal duties of the Treasurer are to:
1. Ensure that adequate records exist regarding the Branchs financial transactions
including accurate and up-to-date records of all income, expenditure, assets and liabilities.
2. Issue receipts for all funds received, where appropriate.
3. Lodge all monies received in the Branchs bank account.
4. Make all approved payments promptly.
5. Act as a signatory to the Branchs bank accounts, (with at least one other committee member).
6. Be accountable for any petty cash and ensure that there are no cheques made payable to cash.
7. Enter all income and expenditure information onto e-Docs system on a monthly basis.
8. Forward details of all income, expenditure, assets and liabilities to the Branchs auditor in early January in relation to Branch Annual Meeting.
9. Forward a copy of the audited accounts to the Finance Department for consolidation into MSI’s accounts by the designated date.
10. Report to the Annual Meeting on the audited accounts for the preceding year.
